Celonis - the process mining tool to rule them all.
We use Celonis to identify and scope value cases within our different process streams (starting with Order to Cash and Record to Report). Through Celonis we have gained the insights needed to build solid business cases on how we can optimize our end-to-end process streams. Currently, we are primarily using Process Mining for data exploration and KPI monitoring but will continuously explore/add the various functionalities within the Celonis EMS.
- Data extraction, transformation, load and visualization in one single tool.
- User-friendly navigation and options (to filter, sort, search etc.)
- Efficient utilization of the data model which makes the dashboards update within seconds after you have added a filter.
- Better insights around APC usage

Celonis kick starts your process analysis
Celonis is generally used to improve our business processes. We connected our SAP systems incl. additional AddOns like Readsoft. Furthermore, we are using it to analyze our ITSM BMC Remedy application. We use it for a wide variety of analyses. General master data topics, shared service center analyses, performance, inventory, etc. The following processes have been connected: Accounts Payable Accounts Receivable Purchase-to-Pay Order-to-Cash Logistics incl. Extended Warehouse Management IT Service Management
- It's very simple to get first results through pre-defined analysis from the EMS store
- Whole management of data extraction, data models, etc. is very clearly organized
- The whole support organization with Customer Success Manager etc.
- User Interface is simple and easy to understand
- Additional features which go behind Process Mining like Action Flows
- ETL functionalities could be improved
- No-/Low-Code functionality could be extended
- Stronger workflow functionality

Celonis Journey
Celonis is being used in our company to analyze high-level and case-specific views of the life cycle of purchase orders and sales orders which come from multiple ERPs to identify inefficiencies/gaps in the process (those that deviate from the happy path). It is also being used to notify teams of the pending actions they need to do by using the Action Engine module.
- Good UX design and easy to learn
- Deep diving into process inefficiencies
- Excellent documentation in help resources, including guides to best practices
- Available certifications and training for Partners
- Continuous, further development of the products
- Great customer service /support
- There are limits that we know of, especially if you are maintaining a large amount of data since there's only so much you can load in the dashboards
- There are still manual processes, especially in importing data from one pool to another, which I'm hoping they can automate in the future (probably using schedules)
- I wish there would be more sample use cases to utilize the Machine Learning Module

Boosting the Time-To-Insight and connecting people to processes
In our complex core business process dealing with debt collection, we use Celonis to visualize and measure a high variety of process variations in order to improve customer experience, overall efficiency, and performance. In a custom process implementation, we focus on improving individual communication, internal decision algorithms, and benchmark KPIs to optimize and derive new communication strategies.

The business problems we're trying to solve are 1) Sales efficiency: understand what (visible in our CRM) is helping sales reps win more/faster. 2) Coverage: Are we managing our customers with the correct people/energy/time. 3) Usage of the CRM: What is useful in the CRM, what should be removed to simplify the sales user's experience.
- Data connection: easy to plug your existing data source into Celonis.
- Process mining: understand easily how your process is performed.
- Dashboards creation: Use templates to create your dashboards faster.
- Moving to the action part is a bit more complex and probably less mature in the tool.

I am a part of integrating Celonis into our outbound supply chain for the US petcare business. Our use cases address FTR for order management, avoiding late delivery penalties, improving LCCs, and getting a three-way match process set up to ensure that the order price matches the invoice price. We are implementing Celonis within our Order-To-Cash process
to improve labor productivity and find working capital opportunities. With
Celonis we can focus on specific areas important to us as a business namely -
order processing, on-time delivery, and throughput time between specific
activities.
With the Celonis team, we have worked to prioritize the
appropriate improvement opportunities to work on and what value those
opportunities might provide to us.
- The team is incredible at integrating background tables, and building out the real-life processes end users are going through so that opportunities can be quickly identified. They continually persevere and are willing to bring in new data sets to make the platform as productive as possible.
- The team continually challenges our internal business processes and setups to ensure that we are hunting for opportunities and pushing the limits of what we thought was possible for improving our operations
- The X-ray view within the process explorer and the variant explorer provides a transparent overview of the order to cash process which we did not have previously
- OLAP tables and different dimensions to slice the data with [helping] us find the root cause of the improvement opportunity that we want to focus on
- Execution instruments like Action Flow help us take advantage of any insights provided to us within the process explorer
- Dashboard views of specific KPIs help us build and export management reports with ease
- Wish there was a way to copy business logic from one workspace to another

Mining my way to value
We are currently deploying Celonis in our Order To Cash processes, but aim for much more. Initially, we are using the Process Mining capabilities to optimize free cash flow by reducing overall order-to-invoice cycle time as well as by reducing our container rolls. We plan to soon use action flow capabilities to proactively notify different team members of outstanding tasks requiring their actions.
- Custom analysis to drive effective insights
- Customer-focused dedicated support (CVA)
- Robust online learning readily available
- CVAs take the journey with our company to help us drive real value out of the tool
- The highest value requires learning PQL (low-code options exist, but the size of the prize is limited). That said, once one dives into learning the language, tangible value can be unlocked fairly quickly.
- Can improve screen utilization to offer the best experience, regardless of what device the user has (laptop and tablet users at times will see compressed charts, making quick visualization harder). One [piece of advice] would be to reduce the real estate consumed by the top ribbons. Significant growth of home offices has drawn more attention to what people are able to accomplish from smaller setups.
- Celonis could offer usage stats by default so that we can follow user adoption more easily.

Improving large, existing processes and identifying bottlenecks, as well as gaining insights into these processes. Business cases involve well-known process mining processes like a quote to cash indirect procurement and direct procurement, etc.

Celonis
Mostly only used in P2P and AP, also O2C and AR. Often the implementation is driven by the purchasing department and financial departments are involved later on. However, some companies use the Celonis to also gain insights into a variety of non-financial processes.
- New PQL editor.
- Real time extract.

- Combining fields from tables‚ far apart in the data model in one Celonis Table.
- Action engine/flow usability.

Hopeful, great potential, still attempting to realize full benefits
Used sparingly right now, trying to create and validate more use cases. Primarily used within the AR/AP Shares services and Customer Service organizations. Expanding into our Lean Enterprise Dept which would expand usage across more of the company. Beyond process mining, we are trying to address low code automation efforts to reduce waste and manual efforts in our processes.
- Mines data, creates spaghetti diagrams of processes and variants.
- Presents good reports and outputs.
- Ability to automate processes.
- Initial data can be too much and difficult to interpret, requires a lot of digging.
- We had a lot of back and forth between Celonis and our business (AR/AP) team attempting to build out functionality. This was mainly around validation of data which is not unique to Celonis but still creates a lot of back and forth - takes time to get something right and ready for implementation.
- Target Lean Enterprise groups with specific use cases, not just use cases around Operations, AR/AP, and your traditional departments and functions.
We used the execution power of Celonis in several customer projects in the manufacturing industry. In general, usage starts in one department and addresses a specific issue or topic. After sharing success stories internally, other departments join in and benefit from extensive process analysis. Celonis is used to find root cause correlations and sustainably improve KPIs like throughput time and on time delivery.
